Position Description:
The Wedding Set-Up Lead is a pivotal, detail-oriented position responsible for transforming The Gardens into a flawless event environment. This is a seasonal, part-time position (April–October) working weekday weddings and events, particularly Thursdays and Fridays. The position requires a blend of physical stamina, leadership, and high-level customer service.
The Lead acts as the bridge between planning and reality. As the face of The Gardens during the most high-pressure hours of the wedding day, your professionalism sets the tone for the entire event.
Starting as early as 6:00 am, the Lead manages the transition from an empty venue to a fully realized event space. You aren't just moving tables and chairs; you are the primary point of contact for the couple from their 30-day walk-through through the event, ensuring every logistical detail—from vendor placement to cleanliness—is executed flawlessly.
Responsibilities:
Success in this role is defined by seamless execution and peace of mind for the wedding party. A successful Set-Up Lead:
- Owns the Details: Every item on the 30-Day Walk-Through Checklist is implemented exactly as requested without needing constant supervision.
- Leads by Example: Efficiently supervises Set-Up Team Members while maintaining a hands-on approach to physical tasks and venue maintenance.
- Solves Problems Proactively: Identifies potential issues (like vendor confusion or supply shortages) and resolves them before they reach the couple or the Day-of Coordinator.
- Maintains "Venue Pride": Keeps the grounds pristine by constantly scanning for litter, overflowing bins, or out-of-place items, ensuring the "first look" for guests is perfect.
- Provides a Flawless Handoff: Captures all special concerns and nuances of the day to brief the closing team, ensuring a consistent client experience throughout the night.
Qualifications:
- Exceptional Customer Service: Proven ability to interact with clients, vendors, and guests with a helpful and positive attitude.
- Highly Organized & Detail-Oriented: A sharp eye for aesthetics and the ability to execute complex floor plans and checklists accurately.
- Professionalism: Maintains a courteous and composed demeanor in a fast-paced, high-stakes event environment.
- Physical Stamina: Ability to perform various physical tasks, including standing for long periods, walking, bending, and lifting or moving heavy objects (e.g., tables, chairs, and decor).
